At RenoCost, we take your privacy seriously. This policy explains what personal data we collect, why we collect it, who we share it with, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. What Personal Data We Collect

When you use our renovation cost calculator or submit an enquiry, we may collect:

  • Contact information: First name, last name, email address and phone number (only when you request quotes or ask us to email your estimate).
  • Property and project information: Postcode, property type, age, condition, renovation preferences, budget and timeline.
  • Enquiry notes: Any additional context you choose to add about your project.
  • Acknowledgement records: We record the date and time you acknowledged our Privacy Policy and Terms of Use, together with your IP address, browser user agent and the version of the wording presented. These records help demonstrate transparency and accountability under UK GDPR.
  • Usage and technical data: Pages viewed, features used, IP address, browser type and device information.

2. Why We Collect It

  • To generate your renovation cost estimate and, where requested, email it to you.
  • To match your enquiry with a small number of suitable tradespeople and, where appropriate, approved lead generation partners so they can contact you with quotations or related services.
  • To maintain a lawful audit trail of the request you made and the acknowledgement you provided.
  • To prevent abuse, secure the service and improve our calculators.
  • To send renovation tips and updates, but only if you have separately opted in to marketing.

3. Legal Basis for Processing

RenoCost relies on different lawful bases under Article 6 of the UK GDPR depending on the activity concerned.

Article 6(1)(f) — Legitimate Interests (primary lawful basis)

Most of our processing is carried out on the basis of our legitimate interests in running an effective home renovation platform. We rely on legitimate interests for:

  • operating the RenoCost platform;
  • matching homeowners with suitable tradespeople;
  • matching homeowners with approved lead generation partners where appropriate;
  • generating renovation estimates;
  • fraud prevention;
  • platform security; and
  • service improvement.

RenoCost carries out and maintains a Legitimate Interests Assessment (LIA) that balances these interests against the rights and freedoms of the individuals whose data we process. You can request a summary of the LIA relevant to your enquiry by contacting us.

Article 6(1)(b) — Contract

This lawful basis applies where you specifically ask RenoCost to provide services to you or to obtain quotations on your behalf. Processing your details in order to deliver the service you have requested is necessary to take steps at your request prior to entering into a contract, or to perform that contract.

Article 6(1)(a) — Consent

We only rely on consent for optional marketing communications and newsletters. You can withdraw your consent to marketing at any time by using the unsubscribe link in any email or by contacting us. Withdrawing marketing consent does not affect the lawfulness of processing carried out under our other lawful bases.

4. Who We Share Your Enquiry With

We only share your contact details with professionals when you actively submit a quote request. Using a calculator, or asking us to email your estimate to you, does not share your details with anyone.

When you submit the enquiry form after acknowledging the Privacy Policy and Terms of Use, we may share your enquiry with:

  • Up to three relevant tradespeople operating in your area and matched to the type of work described in your enquiry; and/or
  • Approved lead generation partners, where this is necessary or appropriate to help you obtain quotations or related services (for example, when we do not have enough suitable tradespeople of our own for your project or location).

Where you request quotes through our architect fees calculator, your enquiry is instead shared with up to five relevant architect practices within approximately 30 miles of your postcode, so they can respond to you.

We only share the information needed for those recipients to respond to your enquiry (typically your name, contact details, postcode, project type, budget and timeline, and any notes you add).

Once your details have been shared, each recipient becomes an independent data controller and is responsible for complying with UK data protection law in relation to the personal data they receive. RenoCost undertakes reasonable due diligence before working with partners but cannot control their independent processing activities.

We do not sell your personal data. Contact details are only shared with relevant professionals when you actively request quotes, as explained in this Privacy Policy.

5. How Long We Keep Your Data

  • Saved estimates: Personal estimate information is retained for up to 30 days and then removed or anonymised.
  • Quote requests and acknowledgement records: Enquiry submissions, contractor matching history and the associated acknowledgement audit records (timestamp, IP address, user agent, wording version and text) are retained for up to 12 months so we can evidence lawful processing.
  • Marketing subscribers: Email address, consent timestamp and subscription status are retained while your subscription is active.
  • IP addresses for rate limiting: Automatically deleted after 2 hours.
  • Anonymous analytics: Aggregated, non-identifying data may be retained longer to understand renovation trends and improve our estimates.

You can ask us to delete your personal data at any time by contacting info@renocost.co.uk. Deletion by RenoCost does not automatically remove copies already held by tradespeople or lead generation partners we have introduced to you — you can contact them directly to exercise your rights against them.

Under UK GDPR, you have the right to:

  • Access your personal data
  • Correct inaccurate data
  • Request deletion of your data
  • Object to or restrict processing (including the right to object to processing based on our legitimate interests)
  • Data portability
  • Withdraw consent to marketing at any time

7. Cookies and Analytics

We use essential cookies to make our website work properly. You can control cookie settings in your browser and change your choice at any time using the "Cookie settings" link in the footer.

This website uses first-party, anonymous analytics to understand site usage.

With your consent, we also use the Meta Pixel (Facebook / Instagram) for advertising measurement, retargeting, building website visitor audiences, and measuring calculator starts and successfully completed estimates that come from our adverts. The Meta Pixel is only loaded after you actively accept marketing cookies. If you reject or later withdraw consent, the Meta Pixel is not loaded, no events are sent, and its first-party cookies are cleared where technically possible. We do not send Meta any personal information such as your name, email address, phone number, full postcode, exact estimate value or any database identifier, and Meta's automatic advanced matching is disabled.

You can withdraw marketing consent at any time via the "Cookie settings" link in the footer. Rejecting marketing cookies does not affect your ability to use RenoCost.

8. Automated Matching

RenoCost uses automated processes to match enquiries with suitable tradespeople and approved lead generation partners, based on factors such as project type, location, budget and timeline. These automated processes do not produce legal effects concerning you or similarly significantly affect you within the meaning of Article 22 of the UK GDPR. A human review is available on request for any matching outcome you are unhappy with.

9. International Transfers

We do not intentionally transfer personal data outside the United Kingdom except where required to use trusted service providers operating under appropriate UK GDPR safeguards.

10. Hosting & Data Residency

RenoCost's primary database, authentication, and file storage are hosted in the AWS Europe (Zurich, Switzerland) region. The United Kingdom recognises Switzerland as providing an adequate level of protection for personal data, so hosting UK homeowner data in Zurich is permitted under UK GDPR without requiring additional transfer safeguards.

Platform-level services such as logs, monitoring, and support tooling may be processed outside this region by our infrastructure providers under appropriate data processing and sub-processor agreements.

Anonymous, aggregated renovation statistics shown on our Live Statistics page are stored separately from identifiable records and are retained after personal identifiers have been removed or suppressed.

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, alteration, disclosure, or destruction.

How We Share Your Data With Trades

Where you submit an enquiry to be contacted by tradespeople, RenoCost acts as a lead-generation platform. Your enquiry is published as a private, non-indexed lead page accessible only by direct link.

  • A maximum of 3 RenoCost trade members can access your enquiry.
  • Limited information (project type, area, budget, timeline) is visible before access. Your name, email, phone and full postcode are only revealed to a trade after they accept our Terms and open the enquiry via a secure link.
  • Once a trade accesses your enquiry, they become an independent data controller for the limited purpose of providing you with a quotation.
  • You can request that your enquiry be removed at any time by emailing info@renocost.co.uk.

How We Share Your Data With Architects

  • Requesting an architect fee estimate by email does not share your details with any architect.
  • If you separately submit an architect quote request, your contact details (including the telephone number you provide) and project information are shared with a maximum of 5 relevant architect practices, selected within approximately 30 miles of your postcode, so they can respond.
  • Each practice that receives your enquiry becomes an independent data controller for the limited purpose of providing you with a quotation.
  • You can request that your enquiry be removed at any time by emailing info@renocost.co.uk.

Anonymised and Aggregated Statistics

We publish anonymised, aggregated renovation statistics (for example on our Live Statistics page). These figures are produced from anonymous session records that do not contain your name, email address, telephone number or full postcode. Location is grouped only into broad regions derived from the letters of your postcode area, and categories with very small sample sizes are suppressed so individuals cannot be identified.

How We Calculate Costs

RenoCost estimates are calculated from published UK cost benchmarks and RenoCost's documented per-module cost assumptions. The model adjusts these assumptions using the property characteristics, selected renovation scope, finish level and broad postcode-based pricing region, then presents a low, mid and high planning range.

  • Published UK benchmarks — macro reference points for construction costs and materials and labour trends, used to sense-check RenoCost's own assumptions.
  • RenoCost's per-module assumptions — cost and duration assumptions for each renovation module, reviewed and updated periodically by the RenoCost team.
  • Estimate ranges — low, mid and high bands set to reflect the realistic spread between competitive and premium specifications, rather than a single fixed price.

Data confidence note

Completed calculator estimates are used to produce anonymous renovation-planning insights. They are not contractor quotations, invoices or confirmed final project costs. RenoCost estimates are intended for initial planning and budgeting. Property condition, specification, access, contractor availability and site-specific requirements can change the final cost. Always obtain detailed written quotations before committing to a project.
